Who We Are and What This Policy Covers
CEO CoPilot (Master Digital Properties LLC, "we," "us," or "our") is a business operations software and intelligence platform. Our platform serves residential home services contractors — specifically HVAC, plumbing, and electrical businesses — in the United States, providing operational KPI tracking, business efficiency intelligence, performance benchmarking, and AI-powered operational guidance.
This Privacy Policy governs the collection, use, storage, and disclosure of personal information obtained through:
- Our marketing landing pages at CEO-CoPilot.net
- Our platform application at my.ceo-copilot.net
- Appointment scheduling through our Calendly booking pages (calendly.com/ceo-co-pilot/demo)
- Video content viewed through embedded Vimeo players on our pages
- Meta (Facebook/Instagram) advertising interactions and the Meta Pixel
- Email, phone, or other direct communications with CEO CoPilot
This policy does not apply to third-party websites we link to. Those services have their own privacy policies which govern your use of their platforms.

What Information We Collect
2.1 — Information You Provide Directly
Our marketing landing pages do not contain standalone data-entry forms or lead capture fields. However, when you take the following actions, information is collected by us or on our behalf:
- Booking a diagnostic call via Calendly: When you click any "Book" or "Schedule" button and complete the Calendly scheduling flow, Calendly collects your name, email address, phone number (if requested in the form), and any responses to scheduling questions. Calendly shares this information with us as the account holder. See §4 for Calendly's own data practices.
- Contacting CEO CoPilot directly: If you email us at admin [ @ ] ceo-copilot.net, you provide your name, email address, and the contents of your message.
- Business data shared during the diagnostic session: During the 30-minute diagnostic call, you may voluntarily share business operational data — revenue figures, technician headcount, service area, and performance metrics — for the purpose of the demonstration. This data is used solely to conduct and follow up on that session. It is operational data, not financial account information.
2.2 — Information Collected Automatically
When you visit our pages, certain technical information is automatically collected:
- Server log data: IP address, browser type and version, operating system, referring URL, pages visited, time and date of visit, and session duration
- Device information: Device type (mobile, tablet, desktop), screen resolution, and browser language setting
- Behavioral interaction data: Which sections of the page you view, scroll depth, button clicks, and video play events — collected via analytics tools described in §4
- Cookie and pixel data: Information collected and stored via cookies, pixel tags, and similar technologies placed by CEO CoPilot and authorized third-party services — see §5 and §6
2.3 — What We Expressly Do NOT Collect
- Credit card, debit card, or bank account numbers
- Social Security Numbers or tax identification numbers
- Information relating to creditworthiness, credit scores, or loan eligibility
- Investment account numbers or brokerage information
- Health or medical information
- Sensitive personal characteristics (race, religion, national origin, sexual orientation, disability status)
Payment processing for CEO CoPilot subscriptions is handled entirely by Stripe, Inc.. CEO CoPilot never receives or stores your payment card data.
How We Use the Information We Collect
3.1 — To Provide the Diagnostic Session and Platform Demo
Contact and scheduling information collected through Calendly is used exclusively to book, conduct, and follow up on the 30-minute business operations diagnostic call. Business operational data voluntarily shared during that session is used to prepare and deliver the demonstration and, with your implicit consent through participation, to provide relevant follow-up benchmarking information.
3.2 — To Communicate With You
Your contact information may be used to:
- Respond to inquiries you initiate
- Send appointment confirmations and reminders for scheduled diagnostic calls
- Provide follow-up information about CEO CoPilot's platform after a diagnostic session
- Send operational platform updates and service notices to active customers
We do not sell, rent, or trade your personal information to third parties for their independent marketing purposes.
3.3 — To Operate and Improve the Platform
Automatically collected usage data is used in aggregate to understand how visitors interact with our landing pages, identify technical problems, improve content and layout, and optimize the user experience. This analysis is conducted at an aggregate level wherever possible.
3.4 — To Conduct Advertising and Retargeting
CEO CoPilot uses the Meta Pixel to measure the effectiveness of our Facebook and Instagram advertising campaigns and to serve relevant CEO CoPilot advertisements to people who have previously visited our pages. This is explained in full in §6.
3.5 — Legal Basis for Processing (GDPR / applicable law)
Where a lawful basis for processing is required under applicable law, CEO CoPilot relies on the following:
- Legitimate interests: Analytics, security, fraud prevention, and improving the platform
- Contract performance: Processing necessary to deliver the services you have requested or subscribed to
- Consent: Marketing communications and tracking activities where consent is required by applicable law (including Meta Pixel for EU/CA visitors)
- Legal obligation: Where processing is required to comply with applicable law
Third-Party Services and Data Processors
CEO CoPilot's landing pages and platform integrate the following third-party services. Each operates under its own privacy policy. By using our landing pages, you acknowledge that these services may collect data as described below.

Cookies and Tracking Technologies
CEO CoPilot's landing pages use cookies and similar tracking technologies. A cookie is a small data file placed on your device by a website you visit. We use the following categories:
5.1 — Strictly Necessary Cookies
Required for basic page function and security. These do not identify you for marketing purposes and do not require consent under most privacy frameworks. They include session-management tokens that allow the page to load and function correctly.
5.2 — Analytics Cookies
Set by Google Analytics 4, these cookies measure how visitors interact with our pages — which sections attract attention, how far people scroll, and what actions they take. This data is used in aggregate to improve content and experience. No individual visitor is identified for independent marketing through analytics cookies alone.
5.3 — Advertising and Retargeting Cookies
The Meta Pixel places one or more cookies on your device that allow Meta (the company operating Facebook and Instagram) to recognize your browser when you visit our pages, and later serve you relevant CEO CoPilot advertisements on those platforms. These cookies may link your page visit to your Meta account if you are logged into Facebook or Instagram at the time of your visit. See §6 for full disclosure of the Meta Pixel.
5.4 — Third-Party Embedded Content Cookies
Calendly: When a Calendly scheduling widget or link is activated, Calendly may set cookies to manage the booking session. These are governed by Calendly's privacy policy.
Vimeo: When the video player loads on our pages, Vimeo may set cookies. CEO CoPilot uses the dnt=1 (do-not-track) embed parameter, which instructs Vimeo not to set advertising cookies. However, Vimeo may still set functional cookies required to operate the player.
5.5 — Managing Your Cookie Preferences
- Browser settings: You can control or delete cookies through your browser's privacy settings. Note that disabling certain cookies may affect page functionality.
- Meta ad preferences: Opt out of interest-based advertising at facebook.com/settings?tab=ads

Meta Pixel — Full Disclosure
CEO CoPilot uses the Meta Pixel (also referred to as the Facebook Pixel) on its marketing landing pages. This section provides complete transparency about what this technology is, exactly what data it transmits, and how to opt out.
6.1 — What the Meta Pixel Is
The Meta Pixel is a JavaScript code snippet provided by Meta Platforms, Inc. When it loads on a webpage, it communicates with Meta's servers to report certain standardized visitor events. This enables advertisers like CEO CoPilot to measure whether Facebook or Instagram ads led to visits or actions on our pages, and to reach relevant audiences with future advertisements.
6.2 — What Data the Meta Pixel Transmits
When you visit a CEO CoPilot landing page with the Meta Pixel active, the following information is transmitted to Meta:
- The URL of the page you visited
- Your IP address (used by Meta to determine approximate geographic location)
- Browser type, version, and device type
- A cookie-based identifier that may link your visit to your Facebook or Instagram account if you are currently logged into a Meta service
- Standard event signals: a PageView event when the page loads, and potentially a Lead event if you click a booking link
- Your name, email address, or phone number (we do not use Meta's Advanced Matching feature without explicit consent)
- Any business financial data, revenue figures, or operational KPI data you may share during a diagnostic call
- Any data that constitutes financial account information, health data, or sensitive personal data under applicable law
- Any information that would classify CEO CoPilot as a "Financial Products and Services" advertiser under Meta's Special Ad Category rules
CEO CoPilot's Meta Pixel is configured to transmit only standard behavioral events (PageView, Lead) and does not transmit any data relating to financial products, credit, financing, investment, or insurance.
6.3 — Why We Use the Meta Pixel
- Conversion measurement: To understand which Facebook or Instagram ads drove visitors to book a diagnostic call, enabling us to measure advertising effectiveness and allocate budget appropriately
- Retargeting: To show CEO CoPilot advertisements to people who visited our pages but did not book a call, so we can remain visible to prospective customers who expressed interest
- Audience optimization: To help Meta's algorithm identify other business owners who are likely to be interested in a business operations intelligence platform, based on behavioral similarity to visitors who have engaged with our content
6.4 — Meta's Use of Pixel Data
Once data is transmitted to Meta, Meta uses it in accordance with its own Privacy Policy. CEO CoPilot does not control Meta's independent use of that data across their platforms beyond the parameters we configure in Meta Ads Manager.
6.5 — How to Opt Out of Meta Pixel Tracking

- If Meta auto-flags your domain as Financial Products & Services, challenge the classification via Events Manager and provide this privacy policy and product classification documentation as evidence that CEO CoPilot is a business operations software platform
Data Retention
7.1 — Prospect Data (pre-subscription)
Information collected in connection with a diagnostic call inquiry — name, email, phone number, and related communications — is retained for 24 months from the date of last meaningful contact. If you become a CEO CoPilot customer, this data merges with your customer record and is retained per §7.2.
7.2 — Customer Platform Data
Business operational data entered into the CEO CoPilot platform (KPI inputs, performance variables, business profile data) is retained for the duration of your active subscription. Upon cancellation or termination, your data is retained for 90 days to allow for data export, after which it is securely deleted or irreversibly anonymized. We will not retain operational business data beyond this window without your explicit request.
7.3 — Analytics and Server Log Data
Server logs and analytics data are retained for 13 months, aligning with standard analytics retention windows and allowing year-over-year comparison. After this period, data is aggregated or deleted.
7.4 — Email and Communications Records
Records of email correspondence with CEO CoPilot are retained for 5 years for business continuity and service history purposes.
7.5 — Legal Hold Override
Notwithstanding the above, CEO CoPilot reserves the right to retain data for longer periods where required by applicable law, court order, or in connection with anticipated or ongoing litigation, regulatory inquiry, or audit.
Your Privacy Rights
Depending on your location and applicable law, you have the following rights with respect to your personal information. CEO CoPilot extends these rights to all users as a matter of policy, regardless of jurisdiction.
Right to Know
Request confirmation that we process your data and receive a copy of the personal information we hold about you.
Right to Correct
Request correction of inaccurate or incomplete personal data we hold about you.
Right to Delete
Request deletion of your personal data, subject to legal exceptions such as ongoing legal obligations or active subscription records.
Right to Restrict
Request that we limit processing of your data in specific circumstances — for example, while you contest the accuracy of information we hold.
Right to Portability
Request a machine-readable copy of personal data you have provided to us, where technically feasible.
Right to Opt Out
Opt out of the "sale" or "sharing" of your personal data for cross-context behavioral advertising, as defined under California law.
Right to Object
Object to processing of your data on the basis of legitimate interests, including for direct marketing purposes.
Right to Withdraw Consent
Where processing is based on your consent, withdraw that consent at any time without affecting the lawfulness of prior processing.
8.1 — Florida Residents
Florida does not currently have a comprehensive consumer privacy statute equivalent to California's CCPA. However, CEO CoPilot extends the rights listed above to all Florida residents as a matter of policy. Florida's Deceptive and Unfair Trade Practices Act (FDUTPA) also prohibits unfair or deceptive acts in commerce, which CEO CoPilot is committed to avoiding.
8.2 — California Residents (CCPA / CPRA)
California residents have rights under the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA), including the right to opt out of the "sharing" of personal information. CEO CoPilot does not sell personal information for monetary consideration. Transmitting behavioral data to Meta via the Pixel for advertising purposes may constitute "sharing" under California law. You may opt out of this sharing by using the cookie preference center or the Meta Ad Preferences tool described in §6.5.

We may need to verify your identity before processing certain requests. We will not discriminate against you — in pricing, service level, or any other way — for exercising your privacy rights.
Security
CEO CoPilot implements reasonable technical and organizational measures to protect personal information from unauthorized access, disclosure, alteration, or destruction. These include:
- HTTPS / TLS encryption for all data transmitted between your browser and our servers
- Access controls limiting which personnel can access personal data systems
- Regular review of data collection, storage, and processing practices
- Data processing agreements with all third-party service providers requiring them to maintain appropriate security standards
No method of electronic storage or internet transmission is 100% secure. While we use commercially reasonable security practices, we cannot guarantee absolute security. In the event of a data breach affecting your rights and freedoms, CEO CoPilot will notify affected individuals and relevant authorities as required by applicable law, within legally mandated timeframes.
Children's Privacy
CEO CoPilot's platform, marketing materials, and advertising are directed exclusively toward business owners and operators who are adults (18 years of age or older). CEO CoPilot does not knowingly collect, solicit, or process personal information from individuals under the age of 18.
Our Facebook and Instagram advertising campaigns are configured to reach audiences aged 18 and older, consistent with Meta's advertising policies and with the nature of our business-to-business service.
If we become aware that we have inadvertently collected personal information from a person under the age of 18, we will take prompt steps to delete that information from our systems. If you have reason to believe we may have collected information from a minor, please contact us immediately at admin [ @ ] ceo-copilot.net.
Changes to This Policy
CEO CoPilot reserves the right to update or modify this Privacy Policy at any time to reflect changes in our data practices, applicable law, or the services we use. When we make material changes, we will:
- Update the "Last Updated" date at the top of this document
- Post the revised policy at its permanent URL: https://www.ceo-copilot.net/privacy-policy/
- Where required by law or where changes are material, provide notice via email to known contacts or via a prominent notice on our landing pages
Your continued use of CEO CoPilot's website or platform after the effective date of a revised policy constitutes acceptance of the updated terms. If you do not agree with a revised policy, please discontinue use of the platform and contact us to request deletion of your personal data.
Previous versions of this Privacy Policy will be archived and made available upon request.
